Terms & Conditions of Hire

1. Definitions & Scope of Agreement

In this Agreement, "Live Mix" (we/us/our) refers to Live Mix Sound & Backline Hire."The Hirer" (you/your) refers to the individual, band representative, event organizer, or corporate entity making the booking."Equipment" refers to all audio, visual, stage, microphone, cabling, and backline gear supplied."Services" refers to the delivery, setup, on-site sound engineering, and breakdown provided by Live Mix personnel.

Live Mix operates exclusively as a self-contained live sound production service: all PA systems, mixing consoles, microphones, and backline packages are supplied, set up, and operated exclusively by a dedicated Live Mix sound engineer on site throughout the booked window. We do not provide dry equipment hire, nor do we provide engineer-only operation of unfamiliar third-party or in-house venue sound systems.

2. Booking Confirmation & Deposits

A booking is formally confirmed only upon written acknowledgement from Live Mix and receipt of the agreed deposit:

• Standard Stock Bookings: A deposit of 25% of the total quotation is required to secure the date.
• Advance Notice / Sourced Equipment: Where a booking requires specialized equipment sourced specifically for the event (e.g. extensive wireless microphone systems or specialized backline), the deposit will include 100% of the equipment sourcing cost. These bookings require a minimum of 21 days advance notice.
• Dates discussed or provisionally quoted are held for 7 days pending deposit payment, after which they may be released for other bookings.

3. Payment Terms & Invoicing

The remaining balance is payable on or before the day of the event prior to equipment departure, unless credit invoice terms (e.g. 14 or 30 days for corporate clients) have been expressly agreed in writing in advance. Payment may be made via direct bank transfer (BACS) or approved card payment.

4. Cancellation & Rescheduling

If the Hirer cancels or requests a date change, the following schedule applies:

• More than 28 days notice: The deposit is refunded in full, less any third-party equipment costs already committed or purchased on your behalf.
• 14 to 28 days notice: The deposit is retained by Live Mix to cover reserved date losses.
• Less than 7 days notice: The full quoted booking total remains payable in full, as the engineer and equipment cannot be re-booked on short notice.

In the unlikely event that Live Mix must cancel due to circumstances within our direct control, all monies paid will be refunded immediately, and we will make every reasonable effort to assist in sourcing a replacement provider.

5. Venue Access, Power & Environment

The Hirer is responsible for ensuring that Live Mix is granted timely access to the performance area and that basic power and shelter requirements are met:

• Access & System Placement: Safe, clear, ground-level loading access or working goods lifts must be available. Live Mix deploys ground-supported point-source sound systems on stands and poles; we do not supply flown line arrays or overhead structural truss rigging. Unusual access constraints (e.g. spiral stairs, prolonged carrying distances, or tight parking restrictions) must be notified in advance.
• Mains Power Supply: The client or venue must provide standard UK 230V 13A (3-pin) mains sockets with correct RCD protection on a dedicated circuit within 10 metres of the stage, with enough capacity to power the sound equipment. The supply must be dedicated and not shared with catering appliances, water urns, or heavy kitchen equipment. Live Mix does not supply generators or site electrical distribution.
• Outdoor Events & Weather Protection: Outdoor stages and marquee setups must provide clean, dry, stable, and completely covered staging with solid overhead shelter from rain and direct sun. We cannot operate equipment in direct rain or without overhead cover.

6. Sound Engineering & Overtime

The quotation includes an agreed on-site window covering load-in, soundcheck, performance mixing, and packdown. If the event overruns the booked schedule due to venue delays or extended performance sets, additional time is charged at the agreed hourly overtime rate (£45/hr up to midnight, £60/hr after midnight).

7. Backline & Instrument Care

Where stage instruments or backline amplifiers are added to a sound package booking:

• Supervised Operation: All backline and instruments are operated on site alongside our sound engineer. We do not dry hire instruments or leave equipment unattended without our engineer present.
• Stage Care Best Practice: Performers agree to standard stage care practices: strap locks engaged on guitars and basses, no drinks or liquids placed on amplifiers or instruments, and gear returned to hard flight cases when off stage.
• Consumables: Consumables (such as drum sticks, guitar picks, and spare strings) are provided by the performing musicians.
• Cymbal Care & Replacement Liability: Our drum kits are supplied with rare, discontinued Sabian FRX cast B20 bronze cymbals. All cymbals are inspected jointly alongside the performer before and after the event. Because these cymbals are out of production and cannot be repaired once cracked, the Hirer is strictly liable for any cymbal cracked, notched, or structurally damaged during the booking (whether caused by improper striking technique, excessive force, or mishandling). Any damaged cymbal must be paid for in full at list replacement price: £450 per Crash (16″/17″/18″), £650 per Ride (20″/21″), and £650 per Hi-Hat pair (14″/15″). No partial or cosmetic allowances apply to cracked cymbals.

8. Noise Limiters & Licensing

Many UK venues operate automated sound level limiters linked to mains cut-off switches. Live Mix engineers will work professionally within the constraints of venue noise limits. However, Live Mix cannot be held responsible for power trips or restricted volume caused by artificially low venue limiter thresholds or uncalibrated venue measurement equipment.

9. Safety, PAT Testing & Public Liability Insurance

Live Mix maintains the highest standards of safety:

• All electrical equipment is tested annually in accordance with UK Portable Appliance Testing (PAT) regulations.
• Live Mix carries £5,000,000 Public Liability Insurance (PLI). Certificates are available to venues on request.
• Method Statements and Risk Assessments (RAMS) are provided for corporate and educational events.

10. Limitation of Liability & Force Majeure

Live Mix is not liable for failure or delay in performance resulting from events beyond reasonable control, including extreme weather emergencies, major road closures, venue power outages, or civil emergencies. Our total aggregate liability for any claim arising out of a booking shall in no circumstances exceed the total fees paid by the Hirer for that booking. Nothing in these terms excludes liability for death or personal injury caused by negligence.

11. Multitrack Audio Recordings

When multitrack recording is booked as an optional add-on, all raw 24-bit audio stems belong to the Hirer. Live Mix retains backup files for 30 days following the event for delivery purposes and will never release or publish client recordings without prior written permission.

12. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the English courts.
